Stud.IP Terms of Use

At Martin Luther University Halle-Wittenberg, Stud.IP serves as the central course organization system and thus performs a wide range of campus management tasks, in particular all course planning and room management functions. The IT Service Center (ITZ) has been providing the internet-based working environment Stud.IP since 2005 with the aim of providing organizational support for face-to-face courses and providing course-related materials.

Scope of service

In the Stud.IP area, which is not accessible to unauthorized persons, you as a registered user can be provided with: schedules, files, discussion forums, lists of participants, literature and links, news, wiki, surveys, tests, text chats, meetings (audio and video conferences) and evaluations for each course of an institution.
Stud.IP also supports collaboration within courses. In the personal course overview, users can see on a single page whether there have been updates or new information in the courses since their last visit (e.g., the provision of a new file, a new forum post, a new appointment, etc.).

Terms of Use

Users must ensure that the use of the Stud.IP communication system and the ILIAS learning management system, connected to Stud.IP, does not violate any applicable legal provisions. By registering, the following terms of use are accepted and the user is obliged:

  • Not to use Stud.IP to either retrieve or distribute immoral or illegal content.
  • To heed the applicable child and youth protection regulations.
  • To respect the privacy and personal rights of others and therefore not to post or send harassing, libelous or threatening content under any circumstances.
  • Not to execute any applications that may lead to a change in the physical or logical structure of the networks used.
  • The usage of Stud.IP for any form of advertising or marketing is not permitted.

Service agreement, warranty, liability

The aim is to make the Stud.IP communication system available 24/7. In the event of faults in the technical equipment, efforts will be made to rectify these within the existing technical and operational possibilities. The server-operated facility is not liable for technical faults.
Martin Luther University Halle-Wittenberg accepts no liability for the content of courses, tests, modules and other elements of the teaching and learning platform.

Copyright

License conditions under which software, documentation, data and media content are made available must be obeyed. In particular, the use of content (Stud.IP and ILIAS) in any other context is not permitted unless the author expressly agrees to further use. Thus, all copyrights to the content of the teaching and learning platform remain with the respective authors.

Storage of personal data in accordance with the GDPR

Personal data is stored exclusively for the purposes of authentication on the system, securing content and communication. A detailed list of the scope, purpose, visibility and duration of the personal data that is stored, as well as your rights within the General Data Protection Regulation, is made available in our privacy policy in the footer of Stud.IP via a link. All personal data, apart from your first and last name, password, matriculation number, university email address and IP address (mandatory information) is provided voluntarily. If you provide further information about yourself, this will only be accessible to other registered users of the system.

It is optionally possible to record meetings (audio and video conferences) in agreement with the participants. The recording process is visible in the interface of the web conferencing tool, but is currently not available. In the event of a recording, the lecturer or the person planning the web conference must inform the participants in advance and obtain their documented consent. The university expressly does not use these recordings to create biometric profiles or for biometric identification. Metadata (IP address and browser identification) generated during the use of the web conference will only be stored to ensure technical operation, troubleshooting and error analysis. Conference content is deleted after the conference has ended, at the latest 2 hours after the last participant has logged out. Notes, links and chat history can be exported before the conference ends.

During your first login, you decide whether your data will be visible to other registered users in Stud.IP. Changes to the visibility of your personal data can be made at any time in Stud.IP under Settings, Privacy. You explicitly decide whether to make your email address accessible to other registered users, whether you can be found in the person search, or whether you appear in the “Who’s Online” list. As part of your work as a lecturer, you are always visible in Stud.IP.

The use of Stud.IP requires the storage of the following data (mandatory data):

  • User data: Surname, first name, username, password for authentication, matriculation number
  • Contact details: University e-mail address, external e-mail address (applicable for guests)
  • Technical data: Date of first and last login

The following persons/areas have access to this data:

User data:

  • System administrators and department administrators

Contact data:

  • Teaching staff in the teaching context, system administrators

Technical data:

  • System administrators

The deletion of data is based on the following provisions:

  • Students/guest students: The data (user data, contact data, technical content) will be deleted one year after exmatriculation. This period only begins at the end of the calendar year in which exmatriculation occurred. Please note that uploaded documents in a course are no longer available due to the archiving of courses after a lecturer has left the service. Therefore, save any documents you may still need at the end of the semester
  • Members and staff of MLU, especially lecturers, departmental and system administrators: The data (user data, contact data, technical data) will be deleted after leaving the service. The deletion of the course data is carried out under the sole responsibility of the lecturer and, if necessary, in consultation with the department administrator.
  • The course data will no longer be archived in the future.

Exclusion of liability

Users commit to protecting their access from unauthorized persons. The IT Service Center of MLU Halle-Wittenberg emphasizes that the password must not be shared. Users are liable for any unauthorized use of their account that occurs due to their conduct, provided they are at fault.

Final provisions

By accepting these terms of use, users declare that they have read the operating and user regulations of the ITZ and the network operating regulations for the data communication network of MLU Halle-Wittenberg and accept them without restrictions or reservation. Any breach of the above obligations may result in the temporary or permanent ban of Stud.IP access.
